Airsafe Airport Equipment Co., Ltd (Shanghai) (the Company, we, us) operates this website (the Site) to provide product information and after-sales support to institutional customers such as airports, air traffic authorities, engineering contractors and distribution partners. This policy explains what personal information we collect, how we use and retain it, who we share it with, and how you can exercise your rights.
Three points worth noting up front: the Site collects personal information only when you actively fill in and submit a form; the Site carries no advertising and no third-party advertising or social tracking code; and we never sell or rent personal information, nor use it for profiling or automated decision-making.
This English text is a courtesy translation. In the event of any discrepancy, the Chinese version prevails.
1. What we collect
1.1 Forms you fill in
The Site has four kinds of form. Fields marked * are required.
- Contact and enquiry: name*, email*, phone, company or organisation, country or region, subject, enquiry category, message* — used to reply to you and follow up commercially.
- Service request (repair): name*, email*, phone, airport or organisation, product serial number, fault description* — used to register and progress your service request. You may additionally tick create an account for me; if you do, we open a member account for that email address and send you an invitation to set a password. If you do not tick it, we handle the request only and create no account.
- Distributor account application: name*, email*, phone, company or organisation, country or region, notes — used to assess eligibility and open an account.
- Email subscription: email*. Subscription uses double opt-in: we first send a confirmation message, and you are added to the list only after you click the link in it. Every subsequent message carries an unsubscribe link.
When you submit any form, the system also records: the time of submission, the address and language of the page you submitted from, the version of this policy you consented to and the moment you did so, your browser User-Agent string, and a one-way hash of your IP address. We do not store the IP address itself — the hash only lets us tell whether two submissions came from the same source, which we use for rate limiting and spam detection. It cannot be reversed.
1.2 Member accounts
The Site has no self-service registration. Accounts arise in only two ways: you tick the account option when submitting a service request, or Airsafe staff open one for you and send an invitation. An account holds your email address (which is also your login name), name, company or organisation, phone number, country or region and preferred language; distributor accounts additionally carry a distributor code that we maintain and you cannot change. Passwords are never stored in clear text — only a hashed value is kept, from which nobody, including our administrators, can read your password. A forgotten password can only be replaced via a single-use reset link.
1.3 Service tickets
A service request creates a ticket holding the ticket number, your contact email, product serial number, airport or organisation, fault description and the progress notes added while it is handled. If you have an account, the ticket is linked to it and visible under My service tickets; without an account you can look it up using the ticket number together with the email address you submitted it with. Progress notes are either customer-visible or internal; internal notes are never shown to you.
1.4 Download records
Every download from the resource centre leaves a record: which document, when, the page language, the IP hash, and — only if you are signed in — your member identifier. It serves both download statistics and access auditing for protected documents. Records for anonymous visitors contain no field that identifies an individual.
1.5 Outgoing mail records
Every message the Site sends (form acknowledgements, subscription confirmations, password invitations and resets, ticket notifications) leaves a queue record holding the recipient address, the message content and the delivery status, used for retries and delivery troubleshooting.
1.6 Website analytics
Where analytics is enabled, we use a self-hosted analytics application running on our own server. It sends no data to any third party and sets no cookies. It records aggregate information such as page views, referrers, device type and approximate region, plus two events: which document download button was clicked and which kind of form was submitted — the events carry none of the content you typed. To distinguish unique visitors it computes an irreversible hash of the IP address and browser identifier on the server side; here too the IP address itself is not stored.
2. Cookies
The Site uses only cookies necessary for it to function — no third-party cookies, no advertising cookies, no cross-site tracking. That is also why there is no cookie consent banner asking you to make a choice. There are four:
- Member session: written when you sign in, transmitted over HTTPS only and not readable by scripts. By default it expires after 2 hours of inactivity; with remember me ticked it lasts 14 days. Signing out clears it.
- Sign-in state marker: its value is always 1 and it carries no personal information. Because pages are cached and cannot be rendered per visitor, this marker is what lets the header show My account instead of Sign in. It plays no part in any access decision.
- Form security token: protects against cross-site request forgery; written on pages that contain a form.
- One-off notice: carries a short message such as saved successfully across a redirect, and expires as soon as it is read.
On your first visit a short cookie notice appears at the bottom of the page. It informs you; it does not ask for consent: it carries a single Got it button, offers no choices, and dismissing it changes nothing about how the Site behaves.
Besides cookies, the Site keeps one marker in your browser local storage: whether the cookie notice has been dismissed. It is a marker only — it contains no personal information and is never sent to our servers.
3. How we use this information
- to answer enquiries and pursue commercial follow-up;
- to register and progress service requests, contacting you where equipment details need checking;
- to open and maintain member accounts and to decide whether you may download protected documents;
- to send product and exhibition information you have subscribed to (you may unsubscribe at any time);
- for security and abuse prevention: rate limiting, spam detection, and access auditing of protected documents;
- to compile aggregate statistics that help us improve the Site.
We will not use this information for purposes unrelated to this policy. Any change of purpose will be reflected in an updated policy first, and a material change of purpose affecting information you have already submitted will be put to you for consent.
4. Who we share with
- Corporate email service: to deliver mail to you, the recipient address and message content necessarily pass through the corporate email (SMTP) service we use.
- Content delivery network (CDN): static assets such as images, scripts and stylesheets may be served through a CDN; form submissions and the account area do not pass through it.
- Customer relationship management (CRM): as at the effective date of this version, form leads are notified by email to our own sales and service staff only and are not connected to any CRM system. Before any such connection is made, we will update this policy and state who receives what.
- Legal compliance: where required by law, or by a judicial or administrative authority acting under due legal process.
Apart from the above, we do not provide, sell or rent your personal information to any third party.
5. Where information is held
The Site servers and database are located in mainland China. If you access the Site from outside mainland China and submit information, that information will be transferred to and stored and processed in mainland China.
6. How long we keep it
- Form leads (enquiries, distributor applications, subscription consent records): 24 months from submission. On expiry the system automatically erases the personal fields (name, email, phone, company, message content, browser identifier, IP hash and so on) and keeps only a non-personal statistical row (time, form type, language, source page) for volume reporting.
- Service tickets: 5 years from submission, matching product warranty and traceability periods. On expiry, likewise, only the personal fields are erased; the ticket number and statistical fields remain.
- Member accounts: kept for as long as the account exists. If you close your account it is disabled immediately and permanently deleted after 30 days — those 30 days exist to leave a window for recovery from mistakes or impersonated closure requests. On deletion, tickets are unlinked from the account and thereafter follow the ticket period above.
- Email subscription: until you unsubscribe. When you do, we delete the whole subscription record rather than flag it — your address is not kept.
- Outgoing mail records: 90 days after sending. On expiry the recipient address and the message body (which may contain password-setting or reset links) are erased; only the mail type, language, delivery status and timestamps remain, for reporting and delivery troubleshooting.
- Download records: records linked to an account are deleted together with the account. Records left by visitors who are not signed in are kept indefinitely — such a record holds only the document identifier, the time, the page language and a one-way hash of your IP address. We use it to compare unusual downloads coming from the same source, to recognise inflated counts and bulk scraping, and to audit access to protected documents. It too cannot be reversed to an IP address, and cannot be matched to any individual visitor.
7. Your rights and how to exercise them
You may ask to access, obtain a copy of, correct or delete the personal information we hold about you, withdraw consent (unsubscribe, close your account), or complain about how we handle it.
Self-service: with an account, sign in and use My profile to view and change your company, phone and preferred language, and the bottom of that page to close the account yourself; every subscription message carries a one-click unsubscribe link.
By email: write to sales@airsafe.com.cn from the email address you used when you submitted the information, with personal information request as the subject, stating what you are asking for. We require the request to come from your own address because deletion is irreversible — acting on a third-party message that merely claims to be someone is the one scenario in this process that can cause unrecoverable loss.
Our response times: we acknowledge your request within 7 calendar days, explaining how we will verify your identity, and complete it within 30 calendar days of successful verification. A particularly complex request may be extended once by no more than 30 days, with written reasons given within the first 30 days. If we decide not to act on a request, we will reply in writing within the same 30 days, giving our reasons and the avenue for complaint.
8. How we protect it
- HTTPS is enforced site-wide;
- passwords are stored only as hashes, never in clear text; IP addresses only as one-way hashes, never in the original;
- protected documents require sign-in and an access check; requesting the file address directly, bypassing the page, is refused;
- sign-in and password reset are rate limited against credential stuffing and harassment;
- back-office access is divided by role, so only staff with a working need can see leads and tickets.
Please note that no transmission or storage over the internet is absolutely secure. In the event of a personal information breach we will notify affected individuals and report to the competent authorities as required by law.
9. Minors
The Site addresses institutional customers, is not directed at minors, and does not knowingly collect their personal information. If you are the guardian of a minor and believe we hold their information, please contact us as described in section 7 and we will delete it promptly.
10. Changes to this policy
This policy is versioned by year and month; the current version is 2026-08. Each time you tick the consent box, the system records which version you agreed to, so that it can be traced later. When the policy changes we update both the version number and the effective date at the top of this page.
